This Privacy Policy describes how FlowShift Manager ("we", "us", or "our") collects, uses, and shares information about you when you use our mobile application and services.

Information We Collect

We collect information you provide directly to us, including:

• Event data: Events you create, staff assignments, schedules
• Communications: Chat messages within the app
• Location data: Approximate location for venue services (when permitted)

How We Use Your Information

We use the information we collect to:

• Facilitate communication between managers and staff
• Send notifications about events, schedules, and updates
• Process staff assignments and scheduling
• Provide customer support
• Analyze usage to improve the app experience

Account Deletion

You can delete your account at any time through the app settings (Settings → Delete Account). Upon deletion, your personal data will be permanently removed within 30 days. Visit our account deletion page for more information.

AI Features and Data Processing

FlowShift Manager includes optional AI-powered features: the AI assistant (flow.ai), event extraction from files and messages, AI-drafted invitations and briefings, and staff-ranking suggestions.

What data is processed: when you use an AI feature, the content you provide — chat messages you type, event details (names, venues, dates, times, roles, pay rates), photos or PDF files you attach, and staff names when ranking suggestions — is sent to our servers and forwarded to Groq, Inc., our third-party AI processing provider (servers located in the United States).

How it is used: this data is used solely to generate the response you requested. Groq processes it on our behalf under contractual restrictions, does not use it to train AI models, and does not retain it beyond what is required to produce the response. We do not use AI processing for advertising or profiling.

Your consent: AI features remain disabled until you explicitly agree to this processing inside the app. The first time you open any AI feature, the app shows a disclosure explaining what is sent and to whom, and asks for your permission. If you decline, all other app features remain fully available. You can simply not use AI features to avoid this processing entirely.

Third-Party Services

Our app uses the following third-party services:

• Groq, Inc.: AI processing for optional AI features (see "AI Features and Data Processing" above)
• Firebase: Authentication and phone verification
• Google Maps: Location and venue services
• OneSignal: Push notifications
• Qonversion: Subscription and purchase management
• Apple Sign-In / Google Sign-In: Authentication

Each of these providers processes data on our behalf and is contractually required to protect your information with safeguards equivalent to those described in this policy.

Children's Privacy

Our services are not intended for users under 16 years of age. We do not knowingly collect information from children.

Changes to This Policy

We may update this Privacy Policy periodically. We will notify you of significant changes through the app or via email.
